Privacy Policy

This Privacy Policy explains what information Homeschool Ace (“Homeschool Ace,” “we,” “us”) collects, how we use it, and the choices you have. Homeschool Ace is operated by 12 Paws Software, LLC, based in Texas. It applies to the Homeschool Ace web application and website (the “Service”).

Homeschool Ace is a gradebook and record-keeping tool built for homeschooling parents and guardians. It is intended to be used by adults, who set up an account and enter information about their own students.

1. Who this policy is for

The Service is directed to parents, guardians, and other adults responsible for a homeschool, not to children. You (the adult account holder) decide what student information to enter, and you control it. We handle that information on your behalf so you can track your students’ academic records.

2. What we collect

Information you give us

• Account information, your name and email address when you register, and your password (stored in encrypted form).
• Student and academic records you enter, this may include a student’s name, grades, assignments, courses, attendance, notes, and similar homeschool records. You choose what to enter; you are not required to use real or full names.
• Messages you send us, such as support requests, feedback, or bug reports.

Information we collect automatically

• Usage and technical data, basic log information such as IP address, browser and device type, pages viewed, and timestamps, used to keep the Service running and secure.
• We use a session token to keep you signed in. We do not use third-party advertising or tracking cookies.

Payment information

Homeschool Ace offers paid subscriptions. Payments are handled by a third-party payment processor; we do not collect or store your full payment card details, the processor handles those directly. We receive limited billing information, such as your subscription plan and payment status, so we can manage your account.

3. How we use your information

We use the information above to:

• provide, operate, and secure the Service and your account;
• store and display the student records you enter;
• respond to your support requests and act on your feedback;
• diagnose problems, prevent abuse, and improve the Service; and
• send you occasional service-related messages (for example, about downtime or changes).

We do not sell your information, we do not rent or share it for advertising, and we do not use your students’ records to build advertising profiles.

4. Connecting your Google Calendar

Homeschool Ace lets you connect a Google Calendar so your homeschool schedule and your existing calendar events can appear together. Connecting is optional, and you can disconnect at any time. When you connect Google Calendar, Homeschool Ace requests only the narrow access it needs:

• Read-only access to your Google Calendar events, so we can display the events from the calendars you choose alongside your homeschool schedule. We never create, change, or delete anything in your own Google calendars.
• A single dedicated “Homeschool Ace” calendar we create in your Google account, so we can publish your homeschool events and lessons back to Google Calendar. We use a scope that limits us to only the calendar our app creates; we cannot read or modify your other calendars.

How we use Google data. We use the calendar information described above solely to provide this sync feature. We do not sell or transfer your Google Calendar data to third parties except as needed to provide the feature, to comply with the law, or in connection with a merger or acquisition with your consent. We do not use Google Calendar data for advertising, and we do not allow humans to read it except with your consent (for example, to resolve a support request you raise), where required for security or by law, or in aggregated or anonymized form for internal operations.

Retention. Your Google connection and any synced data are removed when you disconnect the calendar in Homeschool Ace or delete your account. Disconnecting also removes the dedicated Homeschool Ace calendar we created in your Google account.

Homeschool Ace’s use of information received from Google APIs adheres to theGoogle API Services User Data Policy, including the Limited Use requirements.

5. Children’s information

Student records in Homeschool Ace are entered and controlled by you, the parent or guardian. We collect this information only as a service provider to you and use it solely to provide the Service, never to advertise to or contact your children directly.

If a student record includes information about a child, that record belongs to your account and is subject to the access, export, and deletion rights in Section 9. If you believe a child’s information has been provided to us outside of a parent/guardian account, contact us athelp@homeschoolace.com and we will delete it.

6. How we store and protect your information

The Service runs on Amazon Web Services (AWS) in the United States. We protect your information with:

• encryption in transit (HTTPS) and encryption of stored data at rest;
• access controls that limit who on our side can reach your data; and
• routine backups.

No system is perfectly secure, but we take reasonable, industry-standard steps to protect the information you trust us with.

7. Who we share it with

We share information only with the service providers we rely on to run Homeschool Ace, and only as needed. These currently include:

• Amazon Web Services, hosting and data storage;
• Amazon SES, sending service and support emails;
• Datadog and Amazon CloudWatch, application monitoring and error diagnostics.

We may also disclose information if required by law, to protect our rights or users’ safety, or in connection with a business transfer (in which case we’ll notify you). We do not otherwise share your data with third parties.

8. How long we keep it

We keep your account information and the records you enter for as long as your account is active. If you delete your account or ask us to delete your data, we will delete it within 30 days, except where we’re required to keep certain records to comply with the law. Backups are cycled out on a rolling basis.

9. Your choices and rights

You can:

• Access and correct your account and student records directly in the app;
• Export your records in CSV format so you have your own copy;
• Delete individual records, or ask us to delete your entire account and its data; and
• Opt out of non-essential emails.

To make any of these requests, email us athelp@homeschoolace.com from the address on your account.

10. Changes to this policy

We may update this policy as the Service develops. If we make a material change, we’ll post the new version here and, where practical, let you know. Continuing to use the Service after an update means you accept it.
